Q. How do I get the real (non-evaluation) copy of MedLook?

A.
    If you have the CD you have the real program. The difference in functionality can be unlocked by purchasing a MedLook program option wherein you will receive a serial number to unlock said functionality.

Q. What about training for MedLook?

A.
    We believe you will be able to learn the program very quickly with minimal experience. To help further that learning experience, in addition to the help file and manual, we have prepared additional Flash presentations to cover some of the more intricate parts of the program and reduce your learning cycle with the software. We plan to continue to add to these tutorials in the future.

However, if you'd rather take a more personal route, on-site training is available upon request. Call for details and to set up a training schedule.

Q. How do I purchase MedLook?

A.
    Decide which program options you want (Pro, Standard, Assistant, etc.), get your UID from your computer system (use Registration on the Help menu to do this), call us with this information and payment options and we'll provide you with a serial number. It's that easy. Call 1-800-548-6148.

Q. How does MedLook do electronic claims?

A.
   MedLook creates a print image of the HCFA 1500 claim form. These images are saved in a ASCII text file that can then be transmitted to clearinghouses. MedLook can also send claims directly to carriers using the Ivertex Solace program.

Q. What should I check before transmitting electronic claims?

A.
   Check the following items in MedLook to ensure your claims are correct:

  • TOS (Type of Service) - Can be entered with the CPT code or as you enter a charge.
  • Payor ID - Entered in insurance carrier payor id field.
  • Layout Print to File Settings - Set in patient account on the Billing tab, or in Batch Insurance
  • If using LTC - Set Options, Clearinghouse to LTC

Q. Do I have to exit MedLook to transmit claims?

A.
   No, you shouldn't have to exit MedLook to transmit claims. In fact, you can set MedLook to run your transmission software by using the Add-In Manager on the MedLook Programs menu. For example, to set MedLook to open your web browser to LTC's transmission login page, complete the following:

  1. Run MedLook and click on Programs, Add-In Manager.
  2. Enter a title in the Caption field on the first line. This is the text that will appear on the menu.
  3. Click in the Program Path field.
  4. In the pop up box enter https://ltcssl.wolfpaw.net/ecp/your_site_name_here
  5. Replace "your_site_name_here" with the site name provided by LTC.
  6. Press the Enter key.

Your new entry will appear on the MedLook Programs menu under Custom Programs. To connect to the site, click on this menu entry. The LTC login should open in your default web browser.

Other software or web sites may be set up similarly to run from MedLook.

Q. Medicare requires our office or doctor name and address in HCFA Box 32. How do I make this happen in MedLook?

A.
   First add the name and address of your doctor or practice to the Hospitals list. Then when adding or editing charges in a patient's account select the appropriate name from "Box 32 - Facility" drop down list in the lower right section of the Charge dialog. The following image highlights the drop down in red.

Q. How often should I back up my data?

A.
   Every day, at least once per day. If you enter large amounts of data each day, you may save yourself a great deal of work by backing up multiple times throughout the day.

At some point your computer is going to crash or your billing data will become damaged. When it happens you'll need a way to get up and running again as fast as possible. See the Backup option in the Help systme for step by step instructions on using MedLook's backup functions.

Whether you use MedLook or a third party program to back up your data, you must have a good recovery plan in place. In addition to a good backup of your MedLook data, this includes system backup, boot disks, original operating system CDs or floppies, etc. Check Windows Help for recovery methods specific to the version of Windows you are using.

Q. What do I do if MedLook crashes repeatedly?

A.
   Use Start, All Programs, MedLook, Diagnostics, MedLook with Debug Logging. Run the program trying to recreate the crash. After it has crashed use Start, All Programs, MedLook, Diagnostics, View Log File. Use Ctrl+A to select everything in the file and then Ctrl+C to copy everything to the Windows clipboard.

Start up your email program and open a new message to info@medlookusa.com. In the body use Ctrl+V or Paste. It should copy all of the contents of the file just highlighted into your mail message. Then send the message. Fagerman Technologies' support staff will contact you with further instructions.

Q. What do I do if I have problems installing?

A.
   This is a loaded question so we'll look at several conditions. First, if you are installing from a CD does it spin up automatically? If not that might be a problem. If you use Windows Explorer and browse to the CD and double click on setup.exe does the MedLook Master Setup appear? If it doesn't, the CD is bad, the CD reader device is bad, or you have a security issue.

Next, if the Master Setup runs and Install VFP (install Visual FoxPro) is "red", then you should run this command (the button to the right). If that fails (and it shouldn't) then double click on the VFPODBC.msi file on the CD or retrieve it from our download page. This file is direct from Microsoft and is required. If you cannot install this file you probably don't have privileges to do so.

Always install software using Administrator privileges. You can check your privileges through the Control Panel User Accounts.

Anti-virus software, spyware, and Windows security may be preventing you from installing. Disable these programs temporarily.

If MedLook installs but you get a runtime error that says something like:

"DBTools/GetDBVersion: Error#:429, Descr: ActiveX component can't create object"

Then the Visual FoxPro driver is not yet properly installed. Again this is probably due to security measures on your computer. To install this simply go to

c:\program files\rem systems\medlook\bin

and double click on regvfp6.exe. Try to run MedLook. It should work.
